Overview

Transfer Orders (TOs) allow you to move stock between your own warehouses or locations without purchasing new items from suppliers.

Where to Create Transfer Orders

You can create Transfer Orders in two main ways:

  1. From the Smart Replenishment page — based on system recommendations.

  2. From the Orders page, manually, without recommendations.

We’ll walk through both below 👇

1. Create a Transfer Order from Smart Replenishment

This method is best when you’re already reviewing replenishment recommendations.

Step-by-step:

  1. Go to the Replenishment > Smart Replenishment tab.
    You’ll see system-generated replenishment recommendations for each product and warehouse.

  2. Select products you want to transfer.
    You can select one or multiple rows.

  3. From the Quick Actions bar, click “Create Transfer Orders.”

  4. A modal will open showing:

    • Each selected product.

    • Recommended quantity.

    • Destination warehouse (from recommendation).

    • Options to select Source Warehouse and Transfer Quantity.

  5. Choose the source warehouse for each product where the stock will come from.
    You’ll see the available quantity in each location to help you decide.

  6. Enter how many units you want to transfer.

  7. When finished, click “Review Transfer Orders.”

  8. The system groups your selections by source–destination pairs and shows a summary screen for final confirmation.

  9. Review your selections and click “Create Transfer Orders.”

✅ Your transfer orders are now created and can be viewed under Supply Orders → Transfer Orders tab.

➕ Optional: Add Remaining Items to Basket

Sometimes, the source warehouse doesn’t have enough stock to fully meet the recommendation.

For example:

  • System recommends 200 units.

  • The source warehouse only has 100 units available.

To handle this automatically, use the “Add remaining items to basket” option in the modal.

Here’s how it works:

  1. Check the box “Add remaining items to basket.”

  2. Set your transfer quantity (e.g., 100).

  3. When you create the Transfer Order:

    • The 100 transferred units are recorded as a TO.

    • The remaining 100 units are automatically added to your Basket.

This saves time and ensures your replenishment stays complete without manual recalculations or missed quantities.

Tip: This checkbox is optional and off by default. You can enable it when you want a combined transfer + purchase workflow.


2. Create a Transfer Order Manually

You can also create Transfer Orders manually, without following system recommendations.

Step-by-step:

  1. Go to the Supply Orders page.

  2. Switch to the Transfer Orders tab.

  3. Click “Create Transfer Order.”

You’ll go through a three-step process:

Step 1: Select Products

Choose the products you want to include in the transfer.

Step 2: Select Warehouses

For each product:

  • Choose a Source Warehouse (where the stock will come from).

  • Choose a Destination Warehouse (where the stock will go).

  • View current available quantities.

  • Enter Transfer Quantity.

Step 3: Review & Confirm

Double-check your selections, grouped by warehouse pair.
Click “Confirm” to finalize.

✅ The new Transfer Orders will appear in your Transfer Orders list.

💬 Example Scenario

Let’s say:

  • Your Berlin warehouse has 300 extra units of sneakers.

  • Your Munich warehouse is running low, with only 20 units left.

Here’s how you’d handle this:

  1. Go to Replenishment > Smart Replenishment tab.

  2. See Munich’s recommendation for +150 sneakers.

  3. Select the product and click Create Transfer Orders.

  4. Choose Berlin as the Source Warehouse and enter 150 units.

  5. Click Review → Create Transfer Orders.

✅ The system creates a Transfer Order from Berlin → Munich for 150 sneakers.
You can track its progress under Supply Orders > Transfer Orders tab.

If Berlin only had 100 available, you could check “Add remaining items to basket” and Tightly would automatically add the missing 50 to your Basket.


Transfer Order Lifecycle

Each Transfer Order goes through several statuses, similar to Purchase Orders.
These help you track progress at every step.

Status

What It Means

Actions Available

Drafted

The order is being prepared.

You can still edit, add, or remove items.

Confirmed

The transfer is approved and locked.

No edits allowed.

Shipped

The stock has been shipped from the source warehouse.

Add delivery records.

Delivered

The items have arrived at the destination.

No main action, view only.

Completed

No further deliveries are expected. The transfer is finalized.

None.

⚠️ Important: Stock Levels Are Not Updated

Tightly does not automatically update stock quantities when a Transfer Order is created or delivered.

Viewing Transfer Orders

To manage all your existing transfer orders:

  1. Go to Supply Orders → Transfer Orders tab.

  2. You’ll see a list of all created orders.

  3. Use filters to narrow by:

    • Status (Drafted, Confirmed, Shipped, etc.)

    • Source or Destination Warehouse

    • Date Created

Click any order to open its details page, where you can:

  • Review product and quantity details.

  • Check shipment and delivery updates.

  • Edit delivery records (if applicable).

Best Practices

  • Use Smart Replenishment to identify opportunities for internal transfers before creating new Purchase Orders.

  • Always review stock availability in source warehouses before confirming.

  • Add remaining items to basket when a transfer can’t fully meet the recommendation.

  • Keep delivery records updated to maintain clear operational visibility.

  • Remember: stock quantities in Tightly remain static, real-time updates depend on your external stock management integrations.


💬 FAQs

Q: Does Tightly automatically move stock when a Transfer Order is confirmed?

No. Tightly records the transfer, but actual stock updates must come from your ERP or warehouse system.

Q: Can I edit a Transfer Order after it’s confirmed?

No, confirmed orders are locked. You can only edit while it’s in the Drafted stage.

Q: How do I know which Transfer Orders still need action?

Use filters on the Transfer Orders tab, you can filter by status, date, or location.
