How to Create a Purchase Order in Tightly

Learn how to create purchase orders in Tightly - end to end.

Creating purchase orders (POs) in Tightly is quick and flexible.You can select products from Inventory, Smart Management, or even directly from a Supplier’s Product Catalog — and we’ll handle the rest, including automatically splitting your selections into the correct purchase orders by supplier and location.


Step 1: Decide What to Buy

You can start from three different places:

  1. Inventory Page – Select products manually and enter the quantities you want.

2. Smart Replenishment Page – Use Tightly’s recommended quantities (pre-filled for you).

3. Supplier’s Page (Product Catalog) – Select products for that specific supplier and enter the quantities.

Step 2: Add Products to Your Basket

  • From any of the pages above, select the products you want to buy.

  • Click Add to Basket:

    • Inventory page: You’ll be prompted to enter quantities for each product.

    • Smart Replenishment: Recommended quantities are added automatically.

    • Supplier Page: You’ll be prompted to enter quantities (same as Inventory).

💡 Tip:
The basket lets you add products from different suppliers and locations all in one place. Tightly will create the correct POs for you automatically.

Step 3: Review Your Basket

  1. Go to the Basket page from the left-hand menu.

  2. Select the products you want to convert to purchase orders.

  3. A floating Quick Actions bar will appear at the top.

  4. Click Convert Orders.

Step 4: Automatic Supplier & Location Grouping

When you click Convert Orders, Tightly will:

  • Group products by supplier and location

  • Create one PO per supplier-location combination

  • Handle multiple suppliers and locations in a single click

💡 Tip:
No need to manually sort products — we do it for you.

Step 5: Preview & Validate Your Orders

Before finalizing, you’ll see a PO Preview Modal showing:

  • Each purchase order (grouped by supplier + location)

  • Quantities for each product

  • Warnings for MOQ (Minimum Order Quantity) and Batch Size mismatches

Color coding in the preview:

  • 🔴 Red: The quantity doesn’t meet the product’s MOQ or Batch Size (e.g., MOQ = 100, but you’re ordering 50).

  • 🟡 Yellow: MOQ or Batch size not defined — we can’t confirm if your quantity is optimal for your supplier.

Step 6: Confirm & Create Purchase Orders

If everything looks good:

  1. Click Yes, Convert in the preview modal.

  2. Tightly will create one or more purchase orders instantly, ready for processing.

💡 Tip:
You can still edit POs after creation if needed, directly from the Purchase Orders page.


Here an example use case (check the screenshot flow below):

1 . In this basket, Argan Oil Hair Treatment has an MOQ of 100 but only 23 units in the basket, so it’s flagged in red with a recommended quantity of 100.
Brightening and Cleansing variants don’t have MOQ or batch size defined, so they’re shown in yellow for your awareness.
These visual cues help identify products that either fail supplier rules or have missing requirements.
You can apply all recommended adjustments at once or manually edit each quantity.
This step ensures your purchase orders meet supplier criteria before sending.

2. If you click Apply All Recommendations button, it will apply all the recommendations and make the quantities aligning with MOQ and batch size if defined.

3. As a last step, you just need to click Confirm and Convert to Orders. It will create all the listed purchase orders for you.


Notes

  • Always ensure MOQ and Batch Size are set for each product to avoid warnings.

  • You can add to your basket over time — Tightly will still group and split them correctly during conversion.
