The Contacts module in Tightly helps you store and manage all key supplier contact details — ensuring your team always knows who to reach out to for each vendor.

Overview

Every supplier relationship relies on clear communication. The Contacts page centralizes all relevant contact information tied to your suppliers, including names, roles, email addresses, phone numbers, and preferred contact methods.

Storing contact details directly in Tightly helps you streamline communication for purchase orders, lead time confirmations, and follow-ups — all without needing to search through spreadsheets or inboxes.

With the Contacts module, you can:

  • Store contact information for each supplier representative.

  • Organize contacts by role, department, and contact type.

  • Choose email or phone as the preferred communication method.

  • Automatically link contacts to the correct supplier for purchase orders and messages.


How It Works

What is the Contacts module?

The Contacts module is a lightweight CRM built specifically for supplier-facing communication.

Each contact is assigned to a supplier and contains full profile data:

  • Full Name, Role, Department

  • Country & City

  • Email and/or Phone

  • Preferred Contact Method

  • Linked Supplier

  • Contact Type (e.g. Account Manager, Logistics Contact)

These records can be referenced by your team anytime supplier outreach or order resolution is needed.


1. Creating a New Contact

To add a new contact:

  • Click Create Your First Contact (or “+ New Contact”).

  • Fill in basic personal info: Name, Role, Department, Location.

  • Link the contact to the correct Supplier from the dropdown list.

  • Select the Contact Type (e.g. Primary, Finance, Logistics).

  • Enter email and/or phone number.

  • Choose the Preferred Contact Method (Email or Phone).

  • Add any helpful notes in the Description field.

Click Save Changes to finalize.


2. Why Contact Info Matters

Clean contact data ensures:

  • POs are sent to the right person instantly.

  • Your team avoids duplicated or missing emails.

  • Communication logs stay connected to actual supplier records.

  • Supplier-related workflows (e.g. late shipment follow-up) are handled efficiently.


Using the Contacts Page

Access Contacts

  • Log into Tightly.

  • In the left-hand menu, click on Contacts under the Order Management section.


Step 1: View Existing Contacts

  • If contacts already exist, they’ll be listed by name, role, and supplier.

  • You can filter, sort, or search by contact name or company.


Step 2: Add a New Contact

  • Click Create Your First Contact (or “+” if contacts already exist).

  • Fill in the full contact form including preferred method of communication.

  • Link the contact to the relevant supplier from the dropdown.

  • Click Save Changes.


Step 3: Manage and Update Contacts

  • Click into any contact to edit their info or switch their preferred contact method.

  • Add new notes or update roles if responsibilities change.

  • Delete outdated contacts to keep your list clean.
